Terms & Conditions
Last updated: 9 October 2026
These terms apply to your use of the CashPilot website and mobile app ("the service"), provided by CashPilot ("we", "us"). By creating an account or using the service you agree to them.
1. What the service does
CashPilot is a record-keeping tool for petty cash. Companies use it to record cash issued to their staff, expenses, cash returns and adjustments, and to see balances and reports. The service only records these entries. It does not hold, transfer or pay out money, and it is not a bank, wallet or payment service.
2. Your account
- You log in with your mobile number and a one-time password. One mobile number is one account.
- Keep your phone and OTPs to yourself. You are responsible for what is done through your account.
- The information you enter must be true, and you must be allowed to use the mobile number you register.
3. Companies, Admins and users
- The person who creates a company becomes its Admin. Admins decide who joins the company, their role and group, and the company's rules, such as whether a negative balance is allowed and how long entries can be edited.
- A company is responsible for the accuracy of its records and for how it uses them, including in its dealings with its own staff.
- If you are added to a company, that company's Admins can see your cash records in that company.
4. Acceptable use
You agree not to enter false records to deceive anyone, upload unlawful or harmful files, try to access another company's data, interfere with the service, or use automated means to overload it. We may limit how fast requests are made.
5. Your content
You keep ownership of the records and files you enter. You allow us to store and process them in order to provide the service to you and your company, as described in the Privacy Policy.
6. Changes, edits and deletions
Entries can be edited or deleted only within the period set by the company. Deleted entries are kept, marked as deleted, and every change is recorded in an audit trail. This is deliberate: it protects the company's accounts.
7. Availability
We work to keep the service available and your data safe, but we do not promise that it will be uninterrupted or free of errors. We may change or withdraw features, and we may carry out maintenance.
8. Suspension and ending
You can stop using the service and delete your account at any time. We may suspend or close an account or a company that breaks these terms or the law.
9. Liability
The service is a record-keeping aid and is provided "as is". To the extent the law allows, we are not liable for cash that is lost, stolen, misused or not returned, for decisions taken on the basis of the records, or for indirect or consequential loss. Nothing in these terms limits liability that cannot be limited by law.
10. Changes to these terms
We may update these terms. The new version will be posted here with a new date, and continuing to use the service means you accept it.
11. Governing law
These terms are governed by the laws of India.
12. Contact
